Ordering an Official Document
To order an official document, either a digitally certified pdf or hardcopy, please download and complete the order forms below. The processing and delivery information, cost for each option, and the different methods of payments are listed on the order form.

Graduation after June 2018Lincoln University students graduating after June 2018 will have digitally certified pdfs of the following documents issued free of charge and available via My eQuals:
The first time these documents are uploaded to My eQuals, you will receive an email prompting you to register on the My eQuals system.

Costs
The costs for the documents in either digitally certified pdf or hardcopy format are listed on the order form. Please select the documents and the options you require to confirm the total cost for your order.
Processing and delivery times for digital and hardcopy official documents
The processing of transcripts or official letters either via My eQuals or in hardcopy takes between two to three working days on payment and receipt of the order. In times of peak processing, such as prior to semester start, please allow up to 10 working days to process. Non-standard letters take longer to produce and are dependent on the nature of the letter requested.
Ensure you order your document in plenty of time to avoid disappointment. You can place and make payment for your order well in advance, and you can specify that your documents should be produced after results are released, or after graduation has taken place. If receiving your document in hardcopy, please add additional postal delivery time on top. The University sends documents by standard post unless you opt to pay extra for a tracked courier on the order form.
How to access your digitally certified official documents through My eQuals
- Once your first order has been received and your document issued, Lincoln University will inform you by email that your document is now available.
- The email will contain a link and instructions on how to create an account in the My eQuals portal.
- You will only be able to create and access your My eQuals account after you have received this email.
- The email notification from Lincoln University will be sent to either: the email address nominated on your order form; or, if your document is issued after graduation, to the ‘other’ (personal) email address you have in LUCAS.
- Lincoln University does not administer your My eQuals account, so please make sure the address you use to create your account will remain valid and retain your login details as we cannot reset this for you.

Official Documents Explained
Official letters
Eligible to Graduate letters specify your name, student ID, date of birth, the qualification that you are eligible to graduate with, and the next Graduation Ceremony date. It does not contain any details of courses or grades, and are used for obtaining travel visas for graduation, or post study work visas, or to provide to prospective employers as proof of completion in advance of graduating.

Degree Conferred letters specify your name, student ID, date of birth, date of graduation, dates of study at Lincoln University, the qualification(s); and, where applicable, any majors/specialisations or class of Honours/Distinction that you have graduated with. It does not contain any details of courses or grades.

Academic transcripts
The transcript is a record of your courses taken and your results achieved at Lincoln University. After graduation your transcript shows your qualification as having been conferred or awarded, and records your graduation date.
Parchments
Sometimes also known as a certificate or testamur, the parchment issued when you graduate. Many graduates choose to frame their parchment. Your hardcopy parchment is a legal document and there may only ever be one copy in existence so please keep it safe and secure.
The graduate profile
The Graduate Profile document is uploaded free of charge after graduation for graduates of the ‘new’ undergraduate degree programmes from June 2018.
The graduate profiles for each of Lincoln’s degree programmes are available on the Lincoln website Graduate Profile section.
In 2013 Lincoln University conducted a Qualification Reform, leading to the development of a new portfolio of Bachelor’s degrees. Admission into the new degrees commenced in 2014. The graduate profiles for each of Lincoln’s degree programmes is available from the individual Bachelor’s Degree pages. (You will find it bottom right of the page under ‘Graduate Profiles’).
What is My eQuals?
My eQuals is a joint initiative among New Zealand and Australian universities that gives students and graduates secure access to their academic records and official letters online through a secure portal.
My eQuals allows you to control and share your digital documents with anyone you choose (such as a potential employer, agency or another institution) at any time, and from anywhere in the world. You cannot upload or modify documents in My eQuals, you can only view and share the documents that Lincoln University has uploaded.
The recipient of the shared documents knows the documents are authentic, as they are certified digitally by the source (e.g. Lincoln University). The digital certification meets the legal requirements of certified digital documents in countries around the world. These security features are not guaranteed if the electronic documents are printed, as once printed, the authenticity cannot be verified.

Benefits of sharing your official documents through My eQuals
- Control who can access your document(s) and for how long
- Shut off access to any document, at any time.
Using My eQuals, you will be able to provide a hyperlink (URL) with any electronic application rather than attaching scanned documents or sending originals. You can share your documents with third parties such as employers, registering bodies or other institutions, and any other person you choose.
Document security
My eQuals utilises advanced cryptographic hardware and banking level security to produce and certify digital documents meeting international legal and privacy standards. The documents are both legally valid and tamper-evident. These security features are not guaranteed if the electronic documents are printed, as once printed, the authenticity cannot be verified.
Personal Information Security
While Lincoln University does not have any campuses or affiliated partner institutions in the European Union (EU), we recognise that our students and/or alumni who may be located in the EU may wish to access their secure digital academic documents via My eQuals. If you are based in the EU, Lincoln University is committed to complying with the data protection principles under the EU General Data Protection Regulation (2016/679)(GDPR) when handling your personal information.
