As a new staff member you need to setup the following:
- Internal greeting
- External greeting
- Personal verification response
There are three main greetings that can be set up per mailbox, one for internal calls and the other for external calls, and another which identifies the mail box as yours. It is recommended to have a different greeting for each type of caller, and that you state your name and title for the personal verification response.
The internal greeting should be of the format:
"You have reached the mailbox of Martin Parker. Please leave me a detailed message and I’ll return your call as soon as I can."
The external greeting should also include the name of the University
"You have reached the mailbox of Martin Parker at Lincoln University. Please leave me a detailed message and I’ll return your call as soon as I can."
There is a third temporary greeting that can have an expiry date. This can be set up when the user is away on leave or is unavailable for an extended period.
Remember, if you are going to be away, it is important to set up a temporary greeting detailing when you are to return, and what to do in the meantime.
Greetings should be kept short, remember yours may not be the first or last that the user encounters.
Your personal verification response should be similar to the following
"Martin Parker, systems engineer"

To record the External Greeting press 5, speak after you hear the tone. When you're finished press the # key to save.
(if you record only an external greeting, all your callers will hear this greeting).

To record the Internal Greeting press 5, speak after you hear the tone. When you're finished press the # key to save.

To record the Personal Verification response press 5, speak after you hear the tone. When you're finished press the # key to save.

To record the Temporary Absence Greeting, to set an expiry month, day and time for your temporary absence greeting. Follow the prompts
For example 02 = February, 09 = 9th day of month, 1330 = 1:30 pm.
General function keys
Press 5 to record, speak after you hear the tone. When you're finished press the # key to save.
Press # to stop recording.
Press 2 to review your greeting.
Press 7 6 to delete
Log off (dial 8 3)
To send an express voicemail message
To send a message direct to the voice mailbox of another University extension number dial 3830.
You will be prompted for the extension number, dial the number and press #.
You will then be prompted to leave a message.
